Operations
Operational Manual
Authorized roles: President, Vice-President, Area Head, Delivery Hub Manager, Delivery Manager, Marketing Manager, Team Leader / Supervisor, Dispatcher, Receiving Clerk, Operator, Delivery Associate and Admin.
Decision-maker guide: what should we evaluate during the seven-day demo?
Start with one delivery hub, one delivery vehicle and a small set of clearly labelled sample shipments. Complete Company details, add the required team members and follow a shipment from trip creation through hub arrival, acceptance, route release and a recorded delivery outcome. Keep the same tracking number throughout.
Open https://goldentradeconnect.com/track with that number, then compare the trip-date Master Delivery Manifest (MDM) and route-date Daily Delivery Report (DDR) with your sample records. Check that staff can perform their assigned work and customers cannot see private company operations.
The demo uses Starter limits and expires seven days after company creation; it does not unlock every paid-plan feature. For a small test route, a company managerial member must supply a release override reason. Ask Goldentrade to demonstrate Growth or Fulfillment features separately before choosing a plan.
Agree on success criteria before testing: accurate shipment counts, clear handovers, fewer repeated entries, traceable exceptions and usable reports. Record what worked and what still needs attention before the trial ends.
Decision-maker guide: what should management review each day?
Review Hub trips and Hub acceptance for arrivals, received quantities and unresolved short, over or damaged units. Follow up on recorded variances before continuing the affected workflow.
Review Routes for runs still in progress and shipments without an outcome. Failed and returned deliveries require a reason; every parcel needs an outcome before its route can be completed.
Use the trip-date MDM to review what went out and the route-date DDR to review recorded delivery results. Select the correct date and compare tracking numbers and quantities with the handover records.
Trip, route and manifest approval records the managerial approver and time. Approval does not replace loading, departure, route release or delivery confirmation.
Decision-maker guide: how should we roll the system out to our team?
Begin with a controlled pilot at one delivery hub before adding more locations or vehicles. Name the person responsible for company setup, team access, dispatch, hub acceptance and end-of-day review.
Confirm customer details, delivery addresses, vehicle assignments and hub coordinates before creating routes. Use the supplied upload template, review errors and test a small batch before uploading larger files.
Give each team member their own confirmed account and the company role needed for their work; do not share passwords or grant global staff access just to enable company tasks. Test the Driver and Customer views as well as the managerial view.
Train the pilot team on the same tracking number, handover counts, failed-delivery reasons and report dates. Expand only after the pilot records reconcile and the team can complete the daily workflow.
Decision-maker guide: what must we know before relying on automatic routing?
Manual routing is available on every plan. Automatic routing requires Growth or Fulfillment and groups eligible parcels waiting at a hub by direction and distance; it is not road-network or live-traffic optimization.
Check destination coordinates and review the proposed route against road access, delivery commitments and the assigned delivery vehicle before release. A map pin represents a destination, not a live vehicle position.
Normal route release requires 80–100 parcels. A company managerial member can release a different size only with an override reason. Fulfillment adds midday rerouting for parcels that become ready after release.
Treat the generated route as a starting point for dispatch review, not a guarantee of the fastest journey or on-time delivery.
Decision-maker guide: does reading this manual give access to company records?
No. This Operational Manual is public so prospective buyers can review the procedures without signing in. Reading it does not grant access to a company workspace, team, reports or shipment details.
Company operations require signed-in membership and the appropriate company role. Companies have separate access to their own records; a higher subscription plan unlocks features, not a different role.
Public tracking uses a tracking number and hides personal details. Public POD copies also mask names and full addresses; full POD requires the signed-in shipment owner. POD is available only for eligible subscriber deliveries marked Delivered on Growth or Fulfillment.
A company visitor Home or custom domain is a public presentation address, not a way around private workspace permissions.
Decision-maker guide: what is the difference between a delivery outcome, DDR signature and POD?
A Delivered outcome records that delivery was reported as completed. It does not automatically create a recipient signature or a delivery photograph.
DDR signature pads are separate for each shipment and remain in memory for printing. Reloading or changing the report context can discard them; they are not retained POD evidence.
Eligible subscriber deliveries on Growth or Fulfillment offer a delivered-only POD with view, print, PDF download and shipper email options. The document uses recorded information and does not invent missing evidence. Fulfillment adds automatic shipper email links for supported Delivered transitions.
Before rollout, agree on the evidence your company needs for handover and disputes, then verify that evidence in a real test. Do not treat a report signature draft or a status label as a substitute for retained recipient proof.
Decision-maker guide: how can we judge whether the system is improving operations?
Record a baseline from your current process, then compare a similar pilot period: time spent entering shipments, preparing manifests, reconciling hub counts and closing daily routes.
Use the MDM and DDR to compare shipment totals, completed deliveries and failed or returned outcomes. Review recorded reasons to identify repeat problems rather than looking only at the Delivered count.
Measure these results in your own review sheet; the system does not promise a savings percentage, delivery-time improvement or an automatic return-on-investment score.
Choose the plan from the workflow you actually need: Starter for one-hub manual routing, Growth for additional hubs, bulk acceptance and automatic routing, or Fulfillment for Hub Supervisor, in-app counting and midday rerouting. Review the full inclusions at https://goldentradeconnect.com/subscribe before deciding.
How do company managers pay by card?
Open Subscription as a Manager, Distribution Manager, Delivery Manager or Company Admin. Choose paid seats for Starter or Fulfillment, then select Pay by card. Growth is billed once per company.
Card billing uses USD: Starter $4.99 per paid user/month, Growth $9.99 per company/month and Fulfillment $11.99 per paid user/month. PayPal remains PHP. The initial amount is prorated to month end; taxes are confirmed at checkout.
Cancel any pending PayPal upgrade first. An existing active PayPal or card subscription blocks a second subscription to prevent overlapping charges. Contact Goldentrade before switching providers. Preview card payments are tests and never change the live company plan; live access requires verified payment confirmation.
Which plans include POD and automatic shipper alerts?
Growth and Fulfillment include delivered-only POD view, print, PDF download and manual email. Starter requires an upgrade. Public copies hide personal details; full POD requires the signed-in owner.
Fulfillment additionally emails the recorded shipper when staff or a Google Sheets sync changes a subscriber shipment to Delivered. Save a valid shipper email beforehand. The email includes a POD link, not an attachment; file attachments are unsupported. Email failures do not reverse delivery status, and an upgrade does not email historical deliveries.
Which account roles can change My Deliveries statuses?
Only Delivery Associate and Admin account roles may manually change subscriber delivery statuses. In your Workspace, select Customer deliveries, find the tracking number and change Delivery status. Company roles alone do not grant this access.
Shipment Flow Clerk, Packer and Driver have been removed from account role assignments. Company Driver roles remain separate and unchanged. Subscriber owners can still edit delivery details, and the configured Google Sheets sync remains available.
How do I change a delivery status from a company account?
First confirm the exact tracking number and that the shipment belongs to your company. Track your delivery is a lookup page, not a status editor. A number missing from your company records cannot be updated through that company workspace.
For company parcels, open Routes, expand the route containing the tracking number and find Delivery outcomes. Once the route is Out for delivery, an authorized company managerial member, Hub Supervisor or assigned Driver can select the parcel Outcome and click Record. Failed or returned outcomes require a reason. Earlier statuses follow the hub-trip, acceptance and route workflow rather than a free-edit status dropdown.
Subscriber delivery records are separate: a Delivery Associate or Admin account holder opens Workspace → Customer deliveries, find the exact tracking number and change its Delivery status dropdown. The change saves immediately. Company membership alone does not grant access to this staff-only page.
How do I generate and email Proof of Delivery (POD)?
POD requires the shipment owner’s Growth or Fulfillment operations plan and a Delivered status. Starter opens an upgrade prompt. View only, Print and Download (PDF) share privacy limits: public copies hide names, full addresses and origin branch; full details require the signed-in active subscriber who owns the shipment on Track my Delivery.
To send, sign in as the active subscriber who owns the shipment. Add the shipper email in My Deliveries → Edit delivery, then select Send (Email) on Track my Delivery. The recipient is taken from the record, not entered in the send action. Repeated requests for the same delivery confirmation are deduplicated.
The email includes delivery details and a link to the privacy-limited public tracking page, not a file attachment. Recipient opt-outs are respected. The document confirms the recorded Delivered status; it does not invent a signature or photo, and separate route-report signature drafts are not used as POD.
Why does a workflow action open an upgrade popup?
The action is not included in your current company plan. The popup names the feature, explains its practical benefit and shows the minimum plan needed.
Select Upgrade Plan to open Subscription and use the available company PayPal upgrade. Select Close to return without changing your plan or records. Payment confirmation activates an upgrade; opening the popup or checkout does not unlock features.
Company role permissions and workflow checks still apply after an upgrade. A higher plan does not grant you a different role.
Which plan unlocks additional hubs and multi-drop trips?
Starter includes one hub and one hub stop per trip. Attempting to add another hub or select a second hub stop opens the upgrade popup.
Growth or Fulfillment operations enables additional hubs and multi-drop trips. Select Upgrade Plan in the popup to review the upgrade in Subscription.
Why can I not select the Hub Supervisor role?
Hub Supervisor requires Fulfillment operations. Attempting to select it on Starter or Growth opens the upgrade popup without assigning the role.
Upgrade to Fulfillment operations, then have an authorized company managerial member select and assign the role under Company setup → Team.
How do I enable automatic routing or midday rerouting?
On Starter, selecting Automatic routing opens the upgrade popup. Growth or Fulfillment operations enables building routes from eligible parcels waiting at a hub; manual route creation remains available on Starter.
Midday reroute requires Fulfillment operations. On a released route or a route out for delivery, selecting the locked Midday reroute action explains the upgrade needed to add waiting parcels. Draft-route editing remains available under existing permissions.
Why are bulk acceptance and in-app counting locked?
Downloading the acceptance CSV template, uploading acceptance CSV or selecting Bulk upload on Starter opens the upgrade popup. Bulk acceptance requires Growth or Fulfillment operations.
Selecting In-app count on Starter or Growth opens the popup. Direct counting requires Fulfillment operations. Paper form photos remain available to authorized members under the existing workflow.
A locked attempt does not upload a file or record an acceptance. Upgrade first, then repeat the action with the appropriate company access.
What do DDR and MDM mean?
DDR is the Daily Delivery Report. It answers what happened on a route: pick a route date and it lists every parcel on that route with its recipient, destination, status and the recipient signature recorded against it. Use it as the day's delivery evidence and hand-over sheet.
MDM is the Master Delivery Manifest. It answers what a hub trip is carrying: pick a trip date and it lists every parcel on that trip with its tracking number, recipient, destination, origin hub and status, and carries the permanent manifest number for that date.
In short: the MDM is what went out on the trip, the DDR is what came back from the route. Both are printable from Reports on every company plan.
Do reports and printable manifests require a plan upgrade?
No. The Master Delivery Manifest and Daily Delivery Report are available on every company plan, including Starter, to every company role. Only customer accounts keep their own transactions view instead.
Open Reports, choose the report and date, then select Print / Save PDF when rows are available. These reports are not blocked by the new upgrade popups.
Who can open and approve the Master Delivery Manifest?
Every company role can open Reports and generate the Master Delivery Manifest for a trip date. Generating assigns a permanent manifest number to that date.
Approving a generated manifest stays with managerial roles: Manager, Delivery Manager, Distribution Manager and Company Admin. The approver and approval time appear on the manifest.
Can a manifest number be changed or deleted?
No. Once a manifest is generated, its manifest number is permanent. It cannot be edited or deleted, and the same trip date always keeps the same number.
If the manifest content changes before the trip departs, the number still identifies that date's manifest; generate and approve again only for a different date.
How do I bulk-upload parcels into a trip manifest?
On Hub trips, open a planned trip and select Bulk upload (CSV) on a stop. Bulk manifest upload requires Growth or Fulfillment operations; on Starter the upgrade popup explains the plan needed.
Use the CSV template with the exact headers recipient, address, units, weight_kg — one parcel per row, up to 200 rows. Review the parsed rows, then add them. Invalid uploads do not partially commit, and the manifest locks once the trip is marked loaded.
Who can approve company trips and routes?
Managers, Delivery Managers, Distribution Managers and Company Admins have full access to their own company operations, including approvals and team management. Driver and other lower-role permissions stay unchanged. Plan limits and workflow validation still apply.
Open Hub trips or Routes and select Approve on a record that has not been approved. Approved, the approving member and the approval date and time appear on the record. Approval is permanent and does not change delivery progress or replace release, load scan or departure.
How can I test a booking through successful delivery, and does every record reach Zoho CRM?
Create a clearly labelled dummy parcel under Hub trips, using a test recipient and destination, and keep its generated tracking number. Assign an existing company Driver and delivery vehicle, enter the seal, mark the trip loaded, depart, and mark the hub stop arrived.
On Hub acceptance, submit the received count and matching seal using the method available to the company plan, then have an authorized reviewer approve it if required. On Routes, add the accepted parcel, release the route, scan its tracking number, start the route, record Delivered, and complete the route. A single-parcel test requires a managerial override because normal routes carry 80–100 parcels. Never bypass missing driver assignments or company permissions.
The current company shipment workflow stores its records in the application; it does not automatically send booking, acceptance, route or delivery outcomes to Zoho CRM. A connected Zoho account alone is not shipment synchronization. Delivery status is a recorded outcome, not recipient proof of handover; verify any required proof separately.
What are delivery regions?
Regions group your vehicles, delivery hubs and deliveries into three areas so you can filter the network map and assign shipments by area. Each company has its own three regions.
How are my regions set up?
When your company is created, Goldentrade sets three default regions based on your company's country. Philippine region defaults are Luzon, Visayas and Mindanao.
Can I rename our regions?
Yes. Managers and higher roles can rename the three regions in Company Settings. Other team members can view and filter by regions but cannot edit them.
What happens to existing shipments if a region is renamed?
Existing shipments, vehicles and delivery hubs stay assigned to the same region. Only the name shown on the map, filters and shipment form changes.
Does Google Sheets delivery sync require an API key?
The app uses the Google Sheets API through a Google account connection. Subscribers do not need to obtain or enter an API key: select Connect Google Sheets, sign in and approve access.
Goldentrade configures the shared Google OAuth client once and enables the Google Sheets API in its Google Cloud project. Each subscriber connects their own account and selects their spreadsheet and worksheet. For lasting access, publish the Google consent app or use Internal access for an eligible Google Workspace organization.
Can a Google Sheet update previously synced deliveries or their delivery status?
Only the delivery status, and only through the tracking number. Add optional tracking_number and status columns to the synced worksheet: when a row's tracking number matches one of your deliveries, the sync applies that row's status to the delivery. All other details of a previously synced record stay as they are — the sheet cannot edit them.
The sync remembers the last status it applied from the sheet. A staff member can still correct a status in the app afterward, and an unchanged sheet cell will not revert that correction on the next sync. A row whose tracking number matches nothing is reported as an error, not added.
Status names must match the app exactly (for example Out for Delivery, Returned to Sender (RTS)); matching ignores upper/lowercase. Unknown status names are flagged before anything is synced.
Is Google Sheets delivery sync two-way?
No. Syncing runs one way, from the selected Google spreadsheet and worksheet into the app, and only when the subscriber selects Sync. It never writes back to the spreadsheet.
Rows without a tracking number are added as new deliveries (duplicates are skipped). Rows with a tracking number that matches an existing delivery update only that delivery's status. Nothing else on an existing delivery can be changed by the sheet.
Can a tracking number be changed after a delivery is added or synced?
No. A tracking number is assigned when the delivery is created and can never be edited — not in the app, not by the Google Sheets sync, and not by staff. The database rejects any attempt to change it.
This is what makes sheet status updates safe: the tracking number is the permanent link between a worksheet row and a delivery, so a sync always updates the correct record. If a delivery was created by mistake, cancel it and create a new one with a fresh tracking number.
Can I sync deliveries from a selected Google spreadsheet and worksheet?
Yes. Active subscribers open My Deliveries → New delivery → Google Sheets. Connect or reconnect their own Google account in the popup and allow access.
Paste the link to the desired Google spreadsheet, select Load spreadsheet, choose the worksheet and select Preview deliveries. The first row must contain sender_name, sender_address, destination_address, transaction_date and origin_branch, with dates in YYYY-MM-DD format and up to 200 delivery rows. Optional tracking_number and status columns update the status of already-synced deliveries.
Review errors before selecting Sync deliveries. New rows are added, rows whose tracking number matches an existing delivery update only its status, and unchanged or duplicate rows are skipped. Sync is manual, one-way from Google Sheets, and does not change the source spreadsheet.
Can I edit my company Home page on a mobile phone?
Yes. The public company visitor Home link is view-only, so it does not show editing controls on phones or computers.
Open /login and sign in with your Company Admin or company Delivery Manager account, then open My company → Company setup.
Scroll to Company details to change your company name, mobile number and address, and select Save company details. Use Company logo and Company artwork to upload pictures and choose their placement.
Scroll to Company Home page to change the headings, descriptions and contact email, then tap Save Home page. Open visitor Home to check the result.
If these editing sections are missing, confirm you are signed in to the correct company account. Customer accounts cannot edit company details or artwork.
What should I do when I receive a customer demo request?
1. Review the customer’s name, company, work email, phone, role, fleet size and message in the admin notification. Eligible new demo customers automatically receive a separate seven-day Starter company workspace and secure access link after this email is accepted; this is not a paid subscription.
2. Contact the customer using the email or phone they supplied. Ask what they want to solve, their delivery volume, number of branches and users, and whether they need customer tracking or company operations. Agree on a demo date and meeting link.
3. The customer email contains complete Company Setup steps. Their Company Admin role applies only to their isolated demo, with Starter limits including five images total with the logo. Existing company or staff accounts are left unchanged for manual follow-up. Use sample parcels, never another customer’s records.
4. After the demo, send a summary of the agreed needs, suitable plan and next steps. Keep a follow-up record in your own sales notes; do not treat an enquiry as a confirmed purchase.
5. If they want to proceed, ask them to sign up at /subscribe, confirm their email and complete My profile. They can request a plan from Subscription, but access is activated manually after review. Do not ask for their password.
6. Assign only the access needed. For a customer joining your existing company, add their signed-up email under Company → Team with the Customer role, then link their parcels to that account. A separate company needs its own setup; do not add its staff as administrators of your company.
7. Confirm that the customer can sign in and see only their own records, then arrange training and follow-up. All demo members lose company access exactly seven days after creation; records remain retained. Only Goldentrade can activate continued access.
How do I add, edit or remove customers?
Add — click Add beside Customers, fill in Name (required) plus contact person, email, phone, delivery address, region and account owner email, then click Save. The customer appears in the list.
Edit — find the customer using "Search customers…", click the pencil icon in their row, change the details and click Save.
Remove — find the customer, click the trash icon, and confirm "Delete this record?". Removal follows your access level; linked records may prevent deletion.
Note: these are customer records for operations — adding one does not create a login or activate a subscription.
Can company subscribers have a custom URL?
Yes. Company setup → Company Home page → Open visitor Home provides the active /site/{companyId} link. Share this link so visitors see that company’s Home first, without signing in.
A branded subdomain or a company-owned domain can also be connected, with ownership verification and DNS setup. Company-specific routing must be added separately; connecting a domain alone does not select a company.
The visitor Home and public tracking need no login. Editing, reports and private company transactions still require the correct signed-in access; a visitor URL does not grant those permissions.
How do I set up a subscriber company?
Sign in with the appropriate company access and open My company → Company setup. Save the company name, address and mobile number under Company details.
Upload the Company logo, add Company artwork and choose each image’s placement. Under Company Home page, edit the headings, descriptions and contact email, then select Save Home page.
Company managerial roles can add locations, delivery vehicles and team members as their role and plan allow. Share Open visitor Home only after checking the public page.
Who can edit company details, logo and Home content?
Managers, Delivery Managers, Distribution Managers and Company Admins can edit these and manage team members for their own company. They have full company operations access, subject to plan and workflow rules, without global staff or other-company access. Customers cannot edit them.
How do I replace and position company artwork?
In Company setup, upload the logo in Company logo and other images in Company artwork. Choose PNG, JPG or WebP up to 5 MB.
Select an explicit placement such as Hero banner, About section, Service 1–3, Process step 1–4 or Gallery 1–8. Only explicitly placed artwork and the logo are available on the public visitor Home; Auto placement alone does not publish that image there.
Starter allows 5 images, Growth 12 and Fulfillment 18, including the logo. Remove an unused image before uploading another when the total is full.
Where do I edit the company phone number and website email?
Company setup → Company details → Company mobile number → Save company details updates the phone. Company Home page → Contact email → Save Home page updates the website email.
The header shows tappable phone and email links. If the website email is blank, it falls back to the registered company owner email. Check the visitor Home after saving.
Why can I still see public pages or cannot edit the company logo?
Confirm you are signed in to the intended account and company. Company-focused navigation applies to company-only accounts; global staff roles may provide wider navigation.
Logo, details and Home editing require company managerial access. Do not grant global roles just to enable company editing.
How do I add a company customer and retain their history?
The customer creates and confirms their account first. A company managerial role adds their email under Company setup → Team with the Customer role, capturing profile photo, address and mobile as needed.
Link that customer’s parcels to the account. Their signed-in My transactions shows only linked records and retained history; team, vehicles, trips and routes stay hidden. Public tracking is a separate number-based view.
How do I use company hub trips and acceptance?
Use Hub trips to create the trip, stops and parcels, then carry out the permitted arrival actions. Use Hub acceptance to record received units and any short, over or damaged quantities for the arrived stop.
Resolve recorded variances using the permitted decision controls before continuing the workflow. Company roles and plan features determine the available actions.
How do I bulk-upload delivery acceptance?
Open Hub acceptance → Bulk delivery acceptance, available to company managerial roles and Dispatchers on Growth or Fulfillment. Select Download CSV template.
Keep these exact headers: trip_number, hub_name, seal_number, units_received, short_units, over_units, damaged_units, notes. Each trip number and hub name must identify one arrived stop.
Choose Acceptance CSV, review the parsed rows and submit the acceptances. Upload 1–100 rows. Received units must equal expected units minus short plus over; damaged units do not change that balance. Invalid uploads do not partially commit.
How do I create and release a company delivery route?
Open Routes and build the route with eligible parcels using the available company controls. Standard release requires 80–100 parcels.
A company managerial role can release a different size by supplying an Override reason. Lower roles cannot bypass the size rule. Select Release route when the route is ready.
How do drivers record delivery failures and returns?
In Routes, record each parcel’s Outcome: Delivered, Failed, Returned to hub or Returned to delivery hub. Failed and returned outcomes require a reason.
Settle every parcel’s outcome before completing the route. An incomplete route cannot be marked complete simply by leaving parcels without an outcome.
How do I print a Master Delivery Manifest or DDR?
Open the company Reports tab. Choose Master Delivery Manifest with Trip date, or Daily Delivery Report (DDR) with Route date.
Select the required date and use Print / Save PDF. Reports read the appropriate company data for the selected date rather than only the rows currently loaded elsewhere.
Where do report tracking-number links go?
A tracking number in the Master Delivery Manifest opens its Hub trip; a DDR tracking number opens its Route. The related parcel is highlighted so you can inspect its details.
How do recipient signatures work in the DDR?
Each shipment/tracking-number row has its own recipient signature pad. Sign with touch on a phone or with a mouse, and clear only that row if needed.
The DDR uses Unit Qty, Delivery Status and Date Received, without a sequence-number column. Received by and the recipient signature replace the previous approval wording.
Signatures are isolated by company, report date and shipment and remain in memory for printing beside that shipment. They are not stored proof of delivery; changing context or reloading can discard them.
What does the company map show?
Open Map to see that company’s permitted locations and delivery activity. Locations and destinations need coordinates to appear as pins.
Parcel pins are delivery destinations, not live vehicle locations. Customer-only accounts do not receive the company operations map or another company’s data.
How are demo notifications, passwords and expiry handled?
Goldentrade is notified first, then eligible new applicants receive their isolated Starter company onboarding email. Check the supplied email for mistakes and ask the applicant to confirm the mailbox if messages bounce.
New accounts receive a random temporary password only in the onboarding email and must confirm ownership. Existing accounts retain their password; do not send or store passwords in FAQ answers.
Access ends seven days after company creation for every member, with records retained. Plan activation is a separate reviewed action; a repeat enquiry should not be treated as a new seven-day extension.
How do I manage subscribers and status notifications?
A new account can complete My profile before activation. The Goldentrade team activates subscriber access manually after reviewing the plan request; sending an email request does not activate it.
Subscribers manage their own delivery details. Authorized staff control status changes, which trigger best-effort customer emails without blocking the saved update if email delivery fails.
How do I update these FAQs and decide the audience?
Use the public FAQ for visitors, recipients and subscribers: tracking, account help, subscriptions, company visitor Home and demo expectations.
Use the internal Operations FAQ for setup, role administration, uploads, routes, reports, signatures and operational follow-up. Customer answers also appear internally so staff can give consistent help.
Ask for a FAQ change in chat. Approved how-to answers are added with appropriate questions; explicitly excluded presentation content, credentials and test-account details are not included.
How long are proof-of-delivery photos kept, and how does the Google archive work?
Delivery records are kept forever. Proof-of-delivery photos stay in app storage for 60 days, then a daily job removes them from app storage to keep storage costs low.
A company managerial role can connect the company's own Google account under Company setup → Delivery archive: click Connect Google Sheets, sign in with the company Google account in the popup and tap Allow. The archive spreadsheet is created automatically.
After 60 days the delivery record (tracking number, recipient, address, status, reason, dates) is appended to that company's own Google Sheet. With the Keep photos in my Google Drive option and a Google Drive connection, photos are copied to the company's Drive and the sheet links to them; otherwise photos are simply deleted after 60 days.
New photo uploads are compressed to about 400 KB before saving, which keeps monthly storage and serving costs low. Logos and company artwork are not compressed.
If a company never connects Google, records still stay in the system; only photos are removed after 60 days. The company's Google data stays theirs — the app only writes to the one spreadsheet and folder it created.
Who pays for storage, and what does a year of delivery data cost?
Disk storage and photo-serving costs are not shouldered by Goldentrade — they are part of each company's own usage. Keeping photos compressed and connecting the Google archive keeps these costs small.
Rough one-year estimate for a busy company with 20 delivery staff at 100 units per day each (about 60,000 deliveries a month), with compressed photos and the 60-day archive: about 110–180 credits a year, roughly US$25–45 a year — under US$4 a month.
Without compression and retention, full-size photos for the same volume could exceed US$1,300 a year. The 60-day archive and photo compression exist to keep every company near the lower figure.
How do subscribers add many deliveries at once?
On My Deliveries, select New delivery → Upload spreadsheet. Download the CSV template and keep these exact headers: sender_name, sender_address, destination_address, transaction_date, origin_branch.
One delivery per row, up to 200 rows at a time. In Excel or Google Sheets, use Save as / Download → CSV before uploading; the file must be 1 MB or smaller.
Review the parsed rows in the preview, fix any rows listed as errors, then select Add deliveries. Rows are validated the same way as the single-delivery form, and an upload with errors does not commit.
How does routing work — manual and automatic?
A route is one delivery vehicle's run for the day, built from parcels that have been accepted at a delivery hub and are waiting to go out. Open Company workspace → Routes, then pick the hub and the route date first.
Manual routing (every plan, including Starter): select New route to create an empty draft route. Open the route and, under Add parcels waiting at this hub, tap the tracking numbers you want on this vehicle's run. Save the draft, then release the route to send it out for delivery.
While the route is out, update each parcel as it is handled: Delivered when the customer receives it, Failed when delivery was not completed, and Returned to hub for items brought back. Failed and returned parcels need a reason. A route can only be completed once every parcel on it has an outcome.
Automatic routing (Growth and Fulfillment): instead of picking parcels one by one, select Automatic routing when building the route. The system groups the parcels waiting at the hub by direction and distance from that hub, so each vehicle gets a cluster of stops that roughly sits on one side of town. It is a fast starting point — it does not plan around roads or traffic, so you can still add or remove parcels before releasing the route.
Midday reroute (Fulfillment only): parcels that arrive or become ready after a route has been released or is out for delivery can be added to that route with the Midday reroute action, instead of waiting for tomorrow's route.
Every parcel on a released route appears in that day's Daily Delivery Report (DDR) under Reports, so managers can review outcomes and signatures at the end of the day.
What automatic email goes to a customer who completes Company details?
When a subscriber saves all three company details — company name, address and mobile number — under My company → Company setup, the system sends them one email right away: “Your company is ready — explore deliveries before your trial ends”.
The email points them to https://goldentradeconnect.com/login to open their workspace and walks them through the delivery side: uploading customer data, creating and tracking deliveries, the Daily Delivery Report (DDR), the Master Delivery Manifest (MDM), and planning trips and routes. It also shows the exact date their access ends in Manila time.
It is sent once per company. Saving the details again later does not send it a second time, and the email is only for that company’s own account holder.
If a customer says the email did not arrive, confirm the company details were saved completely (name, address and phone), then check their spam folder and ask them to sign in at https://goldentradeconnect.com.
How do I connect my company's own domain?
Custom domains are available on the Growth and Fulfillment plans for a one-time setup fee of PHP 2,500 (shown in your chosen currency as an estimate). The fee is paid once; the address keeps working while the company stays subscribed. Buying or renewing the domain itself stays with the company.
1. Request: a company manager (Company Admin, Delivery Manager, Manager or Distribution Manager) opens Subscription, enters the address under 'Use your own domain' (for example tracking.abccourier.com) and clicks Request custom domain. Goldentrade is notified by email.
2. Payment: Goldentrade emails payment details. Once the PHP 2,500 fee is received the request is marked Paid and the company gets a confirmation email.
3. DNS records: Goldentrade connects the domain and the request moves to Approved. The company receives an email with the exact DNS records (A and TXT). Add them at the provider where the domain was bought, copy each value exactly, and remove old records for the same name. If the domain has CAA records, they must allow Let's Encrypt, Google Trust Services and SSL.com.
4. Go live: DNS can take up to 72 hours to spread; the secure (https) certificate is issued automatically. When live, the request shows Connected, the company gets an email, and the address opens the company's visitor Home. The original /site/... link keeps working.
Track progress any time under 'Use your own domain' on the Subscription page. Questions: job@goldentrade.solutions.
Do you have an Operational Manual?
Yes, of course. Open the live Operational Manual at https://goldentradeconnect.com/operational-manual. Anyone can read it, no sign-in needed.
Can the FAQ chat check my delivery status?
Yes. Open FAQ chat on the Goldentrade Home or Customer FAQ page and enter your tracking number, or select Track delivery. It checks the same public tracking records as Track your delivery and shows the recorded status, transaction date and available status-update dates without sign-in.
Names, full addresses, shipper email and account identifiers are not shown. It does not predict an arrival date or show live vehicle positions. FAQ answers and tracking lookups use no AI credits; normal website usage costs still apply. If no record is found, check the number with your sender.
Whose company header and logo appear on POD?
POD uses the subscriber company linked to the shipment: its saved company name, public business contact details and uploaded logo. The same header appears in View, Print, Download and POD emails. Public shipment names and addresses remain hidden; public company contact details are separate.
The linked company’s active Growth or Fulfillment plan controls POD access. When no company is linked, the subscriber plan applies and the document uses a neutral delivery-confirmation header. The system never guesses between multiple companies.
Does Fulfillment automatically email POD to the shipper?
Yes. For a Fulfillment-covered subscriber delivery, a staff status change or Google Sheets sync that changes the shipment to Delivered triggers a POD email to its recorded shipper email. Growth includes manual POD email, not the automatic alert. Save the shipper email before delivery is recorded.
The email contains delivery confirmation and a POD link, not a PDF attachment: the current email service does not support file attachments. The public link offers a privacy-limited POD with print and PDF download; full details require the signed-in shipment owner.
Missing or invalid shipper email means no alert is sent. Recipient opt-outs and email limits are respected, and email failure does not undo the Delivered status. Existing Delivered records are not automatically emailed when a plan is upgraded; the owner can use Send (Email).
How to Generate POD
Go to the Track your Delivery page at https://goldentradeconnect.com/track, or use the Track your Delivery link on the website of the company that sent your shipment.
Enter your tracking number and select Track. Once the shipment shows Delivered, choose View only, Print or Download (PDF) to get your Proof of Delivery.
For your privacy, the POD confirms delivery but hides names and full addresses. If you don’t see the POD options after delivery, please contact the company that sent your shipment.
Who can access POD, and is there a privacy risk?
Anyone with a valid tracking number can view delivery status and dates. Once Delivered, shipments covered by the owner’s Growth or Fulfillment plan also offer privacy-limited POD view, print and download. Public tracking and POD withhold names, full sender and destination addresses, and origin branch. Shipper email and account identifiers are not shown.
Full POD details require the signed-in active subscriber who owns the shipment and a Growth-or-above plan. A different account or a tracking number alone does not grant full access. There is no email-code access option; a shipper without owner access can request delivery confirmation from the shipment owner.
Share tracking numbers and full POD copies only with intended recipients: tracking still reveals delivery activity, and a full copy can be forwarded. Email sending stays owner-authorized and uses only the recorded shipper email.
Where can I find my tracking number?
Sign in and open My Deliveries. Each delivery shows its tracking number. You can also ask the sender for the number assigned to your parcel.
How do I track my delivery?
For public tracking, open https://goldentradeconnect.com/track or Track my Delivery on the company visitor Home, enter the number from your sender and select Track. No login is needed for this lookup. Active subscribers can also use their signed-in tracking page for deliveries in their own account.
Why is my tracking number not found?
Check the number with your sender, including any typing mistakes. Public tracking needs a valid tracking number, not a login; signed-in subscriber tracking shows only deliveries linked to your account. If the number still cannot be found, contact the sender or support.
What do the delivery statuses mean?
Pending Processing: the delivery record is awaiting processing. Ready to Ship: the parcel is prepared for dispatch. Shipped: it has been dispatched. In Transit: it is moving toward its destination.
Out for Delivery: it is on the final delivery leg. Delivered: delivery has been recorded as complete. Returned to Sender (RTS): the parcel has been returned to its sender. Cancelled: the delivery has been cancelled.
Why has my delivery status not changed?
The page shows the latest recorded update, not a live vehicle location. If an update seems overdue, contact support with your tracking number so the team can check. Delivery timing depends on the shipment; this FAQ does not promise an arrival date.
Can I edit my delivery address or change a status?
Subscribers can edit their delivery details in My Deliveries. If the parcel is already moving, contact support to confirm whether an address change can be carried out. Editing the record alone does not confirm a reroute. Only authorized staff can change delivery statuses.
What should I do about a failed delivery, return or damaged parcel?
Contact support with your tracking number and explain what happened. The team can check the recorded outcome and advise on next steps. Redelivery, return arrangements and any fees must be confirmed by the team; they are not guaranteed by this FAQ.
How do I create an account and complete my profile?
Open Subscribe and sign up with your email and password. Follow the confirmation email, then log in. On My profile, add your full name and phone number and select Save profile. You can complete your profile before your subscription is activated.
What if my confirmation email does not arrive?
Check your spam or junk folder and confirm that you entered the right email address. If it still has not arrived, contact job@goldentrade.solutions for help. Never share your password or confirmation link.
How do I reset a forgotten password?
On Log in, select Forgot password? and enter your account email. Follow the password-reset link in your email and choose a new password. If the link has expired or was already used, request a new one.
Can other customers see my deliveries?
Your signed-in subscriber delivery pages show only your own records. Public tracking shows status and dates but withholds names and addresses; share tracking numbers only with intended recipients. Company customers see transactions linked to their account, not the company’s staff, vehicles, trips or other customers’ transactions. Authorized operations staff can access records needed for their work.
Where can a company customer see transaction history?
Sign in and open My company. Customers assigned to a company see My transactions, with parcels linked to their account, their current statuses and transaction dates. Completed and returned transactions remain in the list. Company membership is assigned by a company administrator; signing up alone does not grant company access.
How can I speak to a person?
Active subscribers can open Support and start a conversation about their delivery. The support assistant uses help information and your own delivery data; uncertain questions are handed to the team. For account or subscription help before activation, email job@goldentrade.solutions.
How do I cancel my subscription?
Company managers and above can cancel. Sign in, open Subscription and select Cancel subscription, choose your reason for cancelling (this is required and helps us improve the system), then confirm. This works for both card and PayPal payments.
You will not be charged again. Your workspace stays open until the end of the month you have already paid for, then it is locked. To keep using it, choose a plan on the Subscription page again at any time.
To change the card you pay with instead of cancelling, select Update payment method on the same page. PayPal payers update their card in their own PayPal account. Individual subscribers can email job@goldentrade.solutions to cancel.
Does signing up automatically activate a subscription?
No. Creating an account lets you complete My profile and view subscription options. Subscriber access is activated manually by the Goldentrade team after your plan request is reviewed.
How does the Enterprise Integration plan connect to our data server?
After a discovery call, we scope your system, map your fields and test in a sandbox. Your team provides a service account or API access and allowlists our IPs. We build, test and monitor the sync. Go-live happens only after your sign-off.
How do I request a plan?
On My profile, select Subscribe, choose a plan and select Request this plan. This opens your email app with a plan-request subject. Include your account email and send the message yourself. The button does not send an email or activate access automatically.
Which pages can I use after activation?
After activation, your five subscriber pages are My profile, Subscription, Track my Delivery, My Deliveries and Support. My profile is your subscriber home page. Before activation, you can still manage your profile and request a subscription. Company access is assigned separately.
I sent a plan request. Why is access still locked?
Sending the request does not activate access immediately. The team needs to review and activate it manually. Contact job@goldentrade.solutions with the email used for your account if you need an update. No activation time is guaranteed here.
How do I change or cancel my subscription?
Email job@goldentrade.solutions with your account email and the change you want. The team will confirm the applicable plan terms and next steps. Sending an email does not itself change your access.
How do I compare company plans and request an upgrade?
Open My profile → Manage subscription (or Subscribe). Company plan cards list the included operations and total artwork allowance, including the logo. Your current plan is marked Current plan. Starter can request Growth or Fulfillment; Growth can request Fulfillment.
Select Upgrade to on the higher plan. Your email app opens a request with your company, account email, current plan and requested plan. Send it to Goldentrade. Your plan does not change until payment and activation are confirmed; automatic payment and prorated checkout are not yet available.
Do I need an account to use public tracking?
No. Open /track and enter your tracking number. Public tracking and its Support link are available without signing in; they do not provide profile editing, subscription management or company operations.
Why does My Deliveries show only today’s shipments?
Today is the default transaction-date filter. Choose All dates to see the full list, or use Show all dates when today has no shipments. The current date filter uses Asia/Manila (UTC+8).
What do Last Week and Last Month mean?
Last Week is the previous Monday through Sunday. Last Month is the previous calendar month, not the last 30 days. Filters use transaction dates in Asia/Manila. All dates removes the period filter.
Will I receive an email when my delivery status changes?
Subscriber delivery status changes recorded by staff trigger an email notification to the customer’s registered address. Check your spam folder if it does not arrive. Email delivery is not guaranteed; the tracking page remains the place to check the recorded status.
Is the tracking page a live vehicle map?
No. Tracking shows recorded shipment updates. Company map parcel pins represent delivery destinations, not a vehicle’s live position.
How do I change my password while signed in?
Open /change-password after signing in. Enter your current password, new password and confirmation, then submit the change. If you do not know your current password, use Forgot password? on Log in instead.
What does Support on the public tracking page open?
It opens the public customer FAQ without requiring login. For shipment-specific help, use your sender or the company contact details. The signed-in support chat remains subject to subscriber access.
Can I open a company Home page without logging in?
Yes. Use the visitor Home link supplied by that company. It shows its website content, placed artwork, logo and contact details. It does not grant access to staff, vehicles, reports or private transactions.
Can I edit a company website from its visitor link?
No. The visitor Home is view-only on phones and computers. Company Admins and company Delivery Managers must sign in and open My company → Company setup to edit it.
How do I contact the company from its Home page?
Tap the phone number or email address in the top bar to open your phone or email app. Company contact details also appear in the Home page contact section when provided.
Will one company’s logo or artwork change another company’s site?
No. Company branding and artwork belong to that company. Uploading them does not replace another company’s images or Goldentrade’s public website branding.
What happens after I request a company demo?
Submit your correct company details and work email on Request a demo. Eligible new applicants receive a separate seven-day Starter company demo with Company Setup instructions after Goldentrade is notified. Existing company or staff accounts may need manual follow-up. A demo request is not a paid subscription.
What should I do when I receive my company demo email?
Follow the secure access instructions in the email and confirm account ownership before signing in. New demo accounts receive a temporary password with an option to change it; existing account passwords are not automatically replaced. Never share passwords or access links.
How long does the company demo last?
Company demo access expires seven days after company creation for all its members. Records are retained, but access and the demo visitor Home stop when it expires. Contact Goldentrade to arrange continued access.
How many pictures are allowed in each company plan?
Starter allows 5 images, Growth 12 and Fulfillment 18, including the company logo in each total. The Starter demo allows 5 even if you are considering a higher plan.
What is included in company plan operations?
Starter supports one hub, single-drop trips and manual routing. Growth adds multi-drop trips, bulk acceptance and automatic routing, with a minimum of 10 users and unlimited hub and monthly-trip caps. Fulfillment adds Hub Supervisor, in-app acceptance and mid-day re-routing. Access still depends on the assigned company role.
Can we add my own Domain?
Yes, on the Growth and Fulfillment plans. Your company can use its own domain or subdomain for its company Home page for a one-time setup fee of PHP 2,500 (or the equivalent in your currency). Buying or renewing the domain itself stays with you.
A company manager requests it from the Subscription page. The full step-by-step guide is in the Operational Manual.
